Delete your Golf Refinery account
You can delete your Golf Refinery account and the personal data that goes with it at any time — from the app, or by emailing us if you can no longer sign in. This page explains how, what is removed, and the few records we keep.
1. Delete your account in the app
- Open the Golf Refinery app and sign in.
- Open the menu and tap Profile.
- Scroll to the bottom, to Danger Zone, and tap Delete My Account.
- Confirm by tapping Delete.
Your account is deleted immediately and you are signed out on every device. There is no waiting period and no way to undo it.
Two situations need a person: if you are the facility's only owner account, the app tells you to make someone else an owner first; and if staff have disabled your account, the app cannot delete it — use the email route below.
2. Can't sign in, or already uninstalled the app?
Email support@golfrefinery.app from the email address on your account with the subject Delete my Golf Refinery account. We only act on a request we can tie to the account — writing from that address is usually enough; otherwise we will ask you to confirm from it. We then delete the account for you, normally within a few business days of confirming the request, and reply to tell you it is done. Deleting it removes the same data the in-app button does; if you still have a lesson booked, we cancel it first under the facility's cancellation policy and tell you, and if you are the facility's only owner we will need to make someone else an owner first.
3. What is deleted
Deleting your account permanently removes, straight away:
- Your sign-in — your name, email addresses, phone number, profile photo, and the link to the Google or Apple account you signed in with.
- Your profile and settings — notification and sharing preferences, and the device tokens used to send you push notifications.
- Your lessons and bookings — past and upcoming lessons and bay reservations, and the lesson plans and recaps a trainer wrote for you. An upcoming lesson you have already paid for is not refunded automatically — cancel it in the app first (the facility's cancellation policy applies) if you want the money back.
- Your swing videos — every video and thumbnail, deleted from storage.
- Your messages — every conversation you were part of, including the other person's messages to you and any photos or videos attached to them; the conversation disappears for them as well.
- Your library — your reading list, book statuses, and the comments you posted on books.
- Your membership and payment details — any membership is cancelled immediately (the current period is not refunded), and your customer record with its saved payment methods is deleted at Stripe, so nothing can be charged again. If a step at Stripe fails, or a very old payment record turns out to be shared with another account, our team finishes it by hand.
- If you are a trainer — you also lose your public trainer profile, availability, student connections, and the books you recommended to members (other members' reading progress and comments on those books go with them). Lessons you were due to teach are cancelled and flagged so the facility can refund the members who paid. Training videos you were featured in stay in the facility's Library — see “What is kept” below.
Anything the app stored on your phone for Offline mode is removed when you are signed out — at once for an in-app deletion, or the next time the app is opened after an emailed one.
4. What is kept, and for how long
A small number of records stay after deletion. Wherever we can, your name, email address, and phone number are removed from them at the moment your account is deleted. The two exceptions are described below: the payment history our payment processor holds, and the email address on a “don't invite me again” request, which we can only honour by keeping the address.
- Payment history at Stripe. Stripe, our payment processor, keeps the record of past charges, invoices, and refunds — with the billing name and address attached to each — for as long as its own financial-records rules require. This is what lets a past lesson be refunded or a card dispute be answered. We do not keep a copy of your card.
- Guest pass sales. The facility's record that a day guest pass was sold keeps the amount and date, without your name or email, so its accounts still add up. A guest pass you paid for that has not been used yet stays valid for the guest. (Your lessons and their payment records are deleted with your account — see above.)
- Training videos you were featured in as a trainer. Training videos are the facility's: it publishes them through its video platform (Adept) and names the coach featured in each. When your account is deleted, those videos come off the members' tab until a facility admin has reviewed them, and your name is removed from them. If you would rather a video did not stay, hide it in the app (Library → Videos → Hide) or ask the facility to remove it; a facility admin can remove any video at any time. Videos uploaded from the app under the earlier arrangement (before 19 September 2026) are being retired by the facility.
- Consent history. If you gave consent to be contacted by text or email, the record of that consent and of its withdrawal is kept for compliance, with your phone number or email replaced by a one-way scrambled code and the signed text removed.
- Staff review log. Facility staff may review conversations to handle complaints; each review is logged. If a staff member reviewed one of your conversations, the log entry that they did so is kept for accountability — it identifies the reviewer and the conversation, never its contents. If you were the staff member, your entries stay but your name is replaced with “Former staff member”.
- Actions you took as staff. Roles you granted, facility rules you changed, and trainers you invited keep their record, with your name removed.
- “Don't invite me again” requests. If you asked us not to email you lesson invitations from a particular trainer, we keep that request. It is your email address and nothing else, and it exists only so we can refuse to email you.
A record that a marketing contact, a lesson invitation, or a staff-booked bay slot once existed is kept in anonymised form, with every identifying detail removed. Everything else in our database is deleted the moment your account is, with no additional retention period, and your files in storage (videos, thumbnails, attachments) are removed at the same time. Database backups kept for disaster recovery expire on their normal schedule and are never used to bring a deleted account back.
5. Deleting some data without deleting your account
You do not have to close your account to remove things from it:
- Swing videos — delete any swing from Library → Swings in the app; the video and thumbnail are removed from storage.
- Phone number and email addresses — remove or change them under Profile → Manage account in the app. Removing your phone number also withdraws any text-message consent.
- Push notifications — turn them off under Notifications in the app, or in your phone's settings. The token that identifies your device is removed when you sign out.
- Anything else — email support@golfrefinery.app and tell us what you would like removed.
How we collect and use data is described in the Privacy Policy.
